Privacy Policy

YCP Japan Co., Ltd. (here in after referred to as "the Company") considers the appropriate handling and protection of personal information (as defined in Article 2, hereinafter the same) of customers and other stakeholders (hereinafter referred to as "customers, etc.") to be an important responsibility. In order to protect personal information, the Company has established the following privacy policy (here in after referred to as "this Policy") as the basic policy for handling personal information and will appropriately handle and protect personal information of customers, etc.

Article 1 (Scope of Application of this Policy)

  1. This Policy applies to all personal information related to all businesses conducted by the Company and all products and services provided by the Company. In the event that the Company establishes a special policy for personal information regarding specific businesses, products, services, etc., such policy shall take precedence.
  2. Customers, etc., shall use the products and services provided by the Company after understanding and agreeing to this Policy in advance.

This "personal data" includes, but is not limited to, name, address, gender, date of birth, occupation, contact information (email address, phone number, etc.), referrer, IP address, access information to the server, cookies, and other identifiers, location information, etc.
  3. "Retained Personal Data"
    refers to retained personal data as defined in the Personal Information Protection Act.

Article 3 (Compliance with Laws and Regulations)

The Company shall comply with the Personal Information Protection Act and other laws, regulations, and guidelines when handling personal information.

Article 4 (Purpose of Use of Personal Information)

The purposes of use of personal information of customers, etc., at the Company are as follows, and the Company shall use it appropriately within the scope necessary to achieve the purposes of use. The Company will not use personal information in a manner that promotes or induces illegal or unjust acts.

  1. To provide the Company's and affiliated companies' (hereinafter referred to as "the Company, etc.") products and services or the products and services of partners based on contracts, etc. with customers, etc.
  2. To handle important notifications, necessary notifications, after-sales services, maintenance, etc., regarding the Company's and affiliated companies' products and services or the products and services of partners.
  3. To deliver information about the Company's and affiliated companies' products and services or the products and services of partners, propose, guide, negotiate, conclude contracts, and make necessary business communications (including by sending emails).
  4. To acquire browsing history of customers, etc., on the Company's and other websites using cookies and other identifiers, analyze the preferences of customers, etc., and deliver optimized advertisements based on the analysis results.
  5. To respond to opinions and requests from customers, etc., regarding the Company's and affiliated companies' products and services or the products and services of partners.
  6. To conduct surveys on the usage and satisfaction of the Company's and affiliated companies' products and services or the products and services of partners, and to develop and improve the Company's and affiliated companies' products and services or the products and services of partners.
  7. To manage recruitment, employment relationships, and transaction relationships appropriately for officers and employees of the Company, etc.
  8. To contact, send materials, and manage operations regarding seminars and events held by the Company, etc.
  9. To handle disputes, lawsuits, etc.

Article 5 (Acquisition and Management of Personal Information)

  1. The Company shall acquire personal information legally and fairly within the scope necessary to achieve the purposes of use, in compliance with laws and regulations.
  2. The Company shall implement organizational, personnel, physical, and technical safety management measures, deemed appropriate by the Company, to prevent leakage, loss, or damage of personal data and to manage personal data appropriately.

Article 6 (Provision of Personal Data to Third Parties)

The Company shall not provide personal data of customers, etc., to third parties without the consent of the individual, except in the following cases:

  1. When it falls under joint use as specified in the next article.
  2. When outsourcing the handling of personal data within the scope necessary to achieve the purposes of use (including outsourcing to foreign entities that meet the criteria specified in the rules of the Personal Information Protection Commission, which are necessary for continuously implementing measures equivalent to those required by the Personal Information Protection Act regarding the handling of personal data).
  3. When personal data is provided due to the succession of business due to a merger or other reasons.
  4. When based on laws and regulations.
  5. When it is necessary for the protection of human life, body, or property, and it is difficult to obtain the consent of the individual.
  6. When it is particularly necessary for the improvement of public health or the promotion of the sound development of children, and it is difficult to obtain the consent of the individual.
  7. When it is necessary to cooperate with a national institution or local public entity or a person entrusted by them to perform the affairs prescribed by laws and regulations, and obtaining the consent of the individual may impede the performance of such affairs.
  8. When the third party is an academic research institution, etc., and it is necessary for the third party to handle personal data for academic research purposes (including cases where part of the purpose of handling personal data is for academic research purposes, except when there is a risk of unjustly infringing on the rights and interests of individuals).

Article 7 (Joint Use of Personal Information, etc.)

The Company shall jointly use the personal information, etc., obtained from customers, etc., under the management responsibility of the Company, within the scope of the purposes of use specified in "Regarding the Content of Personal Information." The items of personal information, etc., to be jointly used are as stated in "Regarding the Acquisition of Personal Information," and the scope of joint users shall be limited to the companies specified separately below regarding the Company's affiliated companies.

Article 8 (Deletion of Registered Information)

When a request is made by a user, the Company shall stop information distribution and service provision to the corresponding user and delete personal information from the database upon deletion of registration. Changes to the registration for email distribution, etc., are accepted through the "Inquiry Form." Some of the Company's websites allow users to change the registered personal information themselves.

    The Company uses Google Analytics provided by Google LLC on its website. The features of Google Analytics used by the Company are as follows:

    • Google Display Network Impression Reporting
    • Google Analytics Demographics and Interest Reporting
    • Integrated services using Google Analytics to collect data via advertising cookies and anonymous IDs

If you do not want your data to be used by Google Analytics, please use the Analytics Opt-out Add-on provided by Google.

Products and Services of the Company

The Company may use the following third-party services to improve its products and services.

  • Google Sign-in / Google Gmail
    You can sign in using Google Sign-in and use Gmail as your email account.
    Applicable products: YCPProBot
    Purpose of use: Use Gmail as the email server for the email functions within the Company's products Data used: Sent and received email data on Gmail
    The Company's use of information obtained from Google API or transfer to any other application will adhere to Google API Services User Data Policy including the Limited Use requirements.

Specific Information Regarding AI Models

The standard YCP Probot (i.e., the version currently provided) does not utilize any technologies or functions involving AI models. Therefore, your data will not be inputted or shared with AI models.

Collection of Personal Information

Our products acquire information obtained through the Google API via a secure, encrypted communication channel (SSL) while operating on the customer’s device. However, this information will not be transmitted externally (including to our servers or third-party servers) without the customer’s explicit consent.

Our company does not collect data regarding the customer’s usage of the Google API or any information obtained through the Google API via our products.
